Coordinate the activities of document control including distribution of controlled documents, maintenance of electronic directories, tracking and reporting on document review progress
Assist with the implementation, management and administration of project electronic document management system (EDMS) i.e Laserfiche.
Review contract to determine documentation required for each phase of project.
Monitor planned & due dates for drawings, specifications, software, technical manuals, and other documents to be issued and alert respective persons producing them..
Ensure outgoing documents are accurate, comply with company standards and policies, route correspondence to correct associates; and protect and secure confidential and proprietary information.
Assign number to documents and maintain the document numbering system.
Reviews and verifies project documents for completeness, format, and compliance with contract requirements.
Submits project documentation to management for approval, and transmits approved documents to client and vendor.
Receives, distributes, and tracks comments received from the customer.
Maintain the document deliverable register (DDR) and show what document have been issued and at which revision, that copies of them are filed for reference, that they are eventually archived for the required period.
Confers with document originators or engineering liaison personnel to resolve discrepancies and compiles required changes to documents.
Posts changes to computerized or manual control records, releases documents, and notifies affected departments.
Maintain a structured filling system
