Lead Document Control Coordinator
  • Lead the Document Control Team, and directly responsible for establishing the standards, policies, best practices and to manage the day to day operation of the Document Control Plan for the EPC project.
  • Review standard contracting, procurement and project technical documents and procedures to ensure they include clear communication of Document Control standards and requirements.
  • Liaise with FYIP Contractors Document Controllers to ensure all technical documents and correspondences submitted for review/approval are specification standards.
  • Ensure Master Document Register and Document Distribution Matrix (DDM) requirements are implemented.
  • Maintain information management processes including performance measurements, updating procedures, assessment of contractors and reporting results.
  • Liaise with EPC contractors to receive, transmit and administer project documentation through transmittal notes, dispatch documentation in accordance with distribution matrix.
  • Ensure to monitor documents using standard electronics data management system (EDMS) programs to register documents, maintain databases, and produces logs, transmittals, and other reports as required.
  • Ensure all transmitted (outgoing/incoming) project related documents carry the right transmittal number.
  • Perform constant analysis of received and produced documentation to check for compliance with Project standards for numbering, graphic charts, and other related technical to check quality.
  • Processes various documents through all procedural steps in accordance with well-defined procedures and guidelines. To Ensures pre-established document control requirements are satisfactorily met throughout the duration of the project.
  • Track internally the status of documents under review by the Project Team; take necessary action to ensure responses are received by the date assigned.
  • Perform internal document control audits within the Project Team and external audits of EPC Contractors and Sub-Contractors teams, and ensure resolution of issues raised.
  • Responsible for the Documents For Operations (DFO), communicate, and handover information required for Operations planning, start-up, and ultimate production operations.
  • Verifies retention requirements, arranges document cataloging, packing, and long-term storage or disposal of appropriate documents at time of closeout. Manages scheduled destruction of archived documents according to company and Client guidelines; provides assistance with document retrieval.
  • Bring to the attention of the Project Team management any issues that could potentially impact final documentation quality, cost or schedule.
  • Performs other duties commensurate with functional level and responsibilities.
  • Publish weekly document control team report including progress on document reviews to team members.
Lead Document Control Coordinator
  • Lead the Document Control Team, and directly responsible for establishing the standards, policies, best practices and to manage the day to day operation of the Document Control Plan for the project.
  • Inform and train East Area Project Team members with the requirements of the Document Control Plan for the project.
  • Act as the primary interface with other EPC document controllers to ensure Document Control Plan is fully implemented throughout the duration of the project.
  • Interface with EPC contractor document controllers to ensure on sites where Project Team is present, Document Control Plan is effectively managed and operated in accordance with the requirements of the Information Management Plan.
  • Liaise with EPC contractors to receive, transmit and administer project documentation through transmittal notes, dispatch documentation in accordance with distribution matrix.
  • Ensure to monitor documents using standard electronics data management system (EDMS) programs to register documents, maintain databases, and produces logs, transmittals, and other reports as required.
  • Evaluate the performance and effectiveness of the Document Control Plan and work processes and take actions necessary for their improvement.
  • Ensure access to the most current revisions of drawings, method statements, procedures, technical queries, vendor documents, etc are available on the electronic data management system in place for project engineers.
  • Ensure all transmitted (outgoing/incoming) project related documents carry the right transmittal number.
  • Ensure a secure project file room/library is established and that a system for monitoring the removal and return of hard copy project and reference documents is in place.
  • Track internally the status of documents under review by the Project Team; take necessary action to ensure responses are received by the date assigned.
  • Ensure key Information Management documents (Information Management Plan, Document Distribution Matrix, Master Document Register, Document Numbering, and DFO Specification) are developed, implemented, periodically reviewed, updated as required to reflect project changes, and distributed to the Project Team.
  • Closely work with other EPC Document Controllers and to ensure Documents For Operations (DFO) is delivered in accordance with the requirements of EPEC4A Projects “Projects Documentation Requirements”.
  • Responsible for coordinating the transfer of both hard-copy and electronic as-built documentation into the ExxonMobil Development Company file data system.
  • Ensure the completion of the project; documents not required by Operations are archived in accordance with the requirements of ExxonMobil Development Company Information Management & Library Services.
  • Publish weekly document control team report including progress on document reviews to team members.
Lead Document Controller
  • Lead the Document Control Team, and directly responsible for the implementation and maintenance of the Document Control Plan for the Akwa Ibom International Airport Project.
  • Manage, process, classify and track all Project official documentation (includes engineering/technical, correspondence, project management – commercial, legal) generated between the company, contractors and the Akwa Ibom state government.
  • Implement company Document Control processes, procedures, and specifications to ensure accurate records of all project official documentation generated by the company, contractors and Akwa Ibom state government are always stored in the electronic data management system (EDMS).
  • Coordinate and work with other Project Document Controllers on the project to ensure consistency of training, process, and enforcement of document control procedures.
  • Ensure access to the most current revisions of drawings, method statements, procedures, technical queries, vendor documents, etc are available on the electronic data management system in place for project engineers.
  • Ensure all transmitted (outgoing/incoming) project related documents carry the right transmittal number.
  • Evaluate, manage and comply with company Document Control processes, procedures, and specifications to ensure accurate records of all Project official documentation generated by the company, Contractors and Akwa Ibom State government agency.
  • Expedite and track status of all documents reviewed internally by the project management team.
  • Ensure in training additional Project Document Controllers and project team members to have a clear understanding of Company specific policies, procedures and software related to access and review documents.
  • Ensure in the evaluation of Document Control processes and procedures for Project specific modifications.
  • Provide technical support and assistance for the electronic document management system.
  • Attend weekly Project Management meetings.
  • Publish weekly document control team report including progress on document reviews to team members.
Senior Document Controller
  • Responsible to coordinate documentation with Project Management Team (PMT) and EPIC Contractor in order to ensure all project technical and non technical documents are kept in the right place for easy access to authorized personnel.
  • To develop, updates and maintain the MDR of the overall project documentations associated with the whole duration of the project.
  • Coordinate between the EPC Contractors, the Project Team and Operations organisation to develop and deliver in a timely manner the documentation required to support, operations planning, start-up preparations, and the ultimate operations phase.
  • Coordinate transfer of Document For Operations, Early Deliverable and Final Deliverable information packages to Operations in line with the agreed milestone delivery dates.
  • Identify and advise the Project Management Team any issues that could potentially impact final documentation quality, cost or schedule.
  • Receive and distribute project documents among the Project Management Team; and submitting documents to appropriate project engineers for review / comments / approval.
  • Ensure all transmitted (outgoing/incoming) project related documents carry the right transmittal number.
  • Ensure all outgoing / incoming project technical documents are well checked and log into the Electronic Documentation Management System (EDMS) for easy tracking and future references.
  • Establish and maintain project filing index system for technical engineering documents; e.g. drawings, procedures and specifications, method statements, technical queries, operations and maintenance manuals, training manuals, manufacturing data books, plant certification packages, periodic reports, variation orders, letters, memos, faxes and others.
  • Perform regular audit on project technical documents in order to ensure that all documents are properly submitted to responsible project engineers for review / comments / approval.
  • Ensure revision control is accurately maintained for project technical documentation.
  • Provide support to all team members on the daily use of the electronic data management system (EDMS).
  • Works with EPIC Contractor Document Controllers and VENDORS to ensure in all sites where there is Project Management Team (PMT), the document control process is being managed and operated in accordance with Project Procedures.
  • Adhere to Quality Standard Policies relating to ISO 9001: 2000, Health and Safety, and Quality Management.
  • Prepare project DCC weekly report.
