•Make Available the applicable project documentations to the project team, including Client and Sub Contractor with reference to distribution matrix.
•Establish and maintain the require registers/distribution matrix e.g. Documents/Drawing and Correspondence and use these to issue regular status reports to project Management.
•Liaise with project document control team.
•Liaise with and ensured project team adherence to project procedures and guidelines.
•Receives all relevant location documentation and ensures the technical documents are stored properly and creates efficient data storage and filling system.
•Responsible for the technical document routing follow-up until handover to client (Agip oil).
•Provide support to project engineering Management team with regards to technical document Management.
•Maintain electronic document/Email files and hard copies documents files for all project-related documentation.
•Receive and transmit all projects related documents.
•Maintain and update document distribution matrices, transmittals and correspondences registers for project related documentation.
•Perform Technical Assistant duties as and when assigned by the supervisor.
•Updating the engineering Discrepancies log.
•Maintain a project cabinet containing frequently referred to documentation, such as codes and standards.
•Organize the project documentation filling system.
•Develop and maintain an up to date efficient system.
•Ensured documents are correctly logged-in.
•Issued document control template.
•Received and transmit documents.
•Ensured turnarounds of transmittals are monitored.
•Collating comments to client documentations if not handled electronically.
•Set-up and control a filling system for all documents produced and received by the client (Shell) project team.
•Set-up final archiving of as-built documentations.
Produced and maintain database to allow easy search/retrieval of project documents.
•Coordinate with client (Shell) central engineering with respect to hand-over and final storage of as-built documentation.
•Set-up and control the storage of Radiographs (NDT) to ensure shelf life and allow easy search/retrieval.
•Distribute all deliverable document and correspondences to reviewers to review within 24 working hours of receipt of notification from client(s).
•Comments on deliverable Document transmitted to the client.
•Manage all internal generated documentations for turn around and filing.
•Conduct on the job training ability.
•Offer technical support and training to project members with reference to document control tools problem e.g. Livelink.
